Send Email

This function is used to send email with attachment to the relevant stakeholders. It can be incorporated in the activity as a part of the process.

Sheetkraft contains the Send Email function which can be accessed as follows through the Sheetkraft Toolbar: SheetKraft > More > Web Actions > Send Email.

Send Email Function UI consist of the following:

  • From & To: Insert the email address’ directly in the UI or you can also add the range cells which consist the email address.

  • Subject: Insert the relevant subject for the mail directly in the UI or you can also choose the range cell which consist the subject.

  • Attachment: Add the File Path of an attachment file that you want to send along with an email as an attachment (Optional).

  • CC & BCC: Add the Email address’ that should be CC & BCC’d (Optional).

  • Configuration Name: Add the Outgoing Mail Server Setting (if any).

  • Send email function contains three types of mail body:

Html body: This function is used if the email body is in HTML Code format.

Plain Text body: This function is used if the email body is in the plain text body format.

Existing draft: If you want to send any draft or document which is already saved then we can use this function.

Note: In send email function, the From email id is actually a reply-to email id. The From email id will be taken from the SMTP config and email will be sent through the same. In a case, where the recipient replies to the same mail, it will be received by the Reply-To email id.

The below image shows an excel worksheet that consists of a table and we will learn how we can send this table using the send email function.

Case 1 : Using send email function with HTML body feature

Step 1:

Convert the table into html code by using the Table to Html function.

The output of this function is as follows:

Step 2:

List down the following:

  1. From & To Email ID,

  2. Subject of email,

  3. Attachment File Path of a file that you want to send along with an email as an attachment(Optional),

  4. CC & BCC Email ID(Optional) and

  5. Configuration Name.(Optional) Check the below image –

Step 3:

Open the Send Email UI and enter the required cell reference containing the respective details. You can also save the email file by selecting the check box - “Save mail to a file”. Refer the below image –

Step 4:

Click on the Next button to execute the send email function.

Case 2 : Using Send Email function with Plain Text feature

Step 1:

Enter the text that you want in the email body in any particular cell. And also list down the following:

  1. From & To Email ID,

  2. Subject of email,

  3. Attachment File Path of a file that you want to send along with an email as an attachment(Optional),

  4. CC & BCC Email ID(Optional) and

  5. Configuration Name.(Optional) Check the below image:

Step 2:

Open the Send Email UI and enter the required cell reference containing the respective details. You can also save the email file by selecting the check box - “Save mail to a file”. Refer the below image –

Step 3:

Click on the Next button to execute the send email function.

Case 3 : Using Send Email function with Existing Draft feature

Step 1:

List down the following:

  1. From & To Email ID,

  2. Subject of email,

  3. Attachment File Path of a file that you want to send along with an email as an attachment(Optional),

  4. CC & BCC Email ID(Optional) and

  5. Configuration Name.(Optional). Open the Send Email UI and enter the required cell reference containing the respective details. You can also save the email file by selecting the check box - “Save mail to a file”. Refer the below image –

Step 2:

Select Existing Draft as an email body and then select the path of your saved draft through the browse option available in the UI. This will capture the path of your file. Refer below image –

Step 3:

You can also save the email file by selecting the check box - “Save mail to a file”. After filling all the details in the Send Email UI, click on Next button to execute the send email function. Refer the below image –
